Phone System Inside the CRM: Click-to-Dial, Auto-Logging, Call-to-Deal Linking
RingCentral wired into Salesforce so every call and text logs itself to the right record, follows the lead into the deal, and produces a connect rate you can trust.
- RingCentral for Salesforce
- Salesforce Flow
- Salesforce reports
The problem
Reps dialed from one app and logged calls in another, when they logged them at all. Calls made while someone was still a lead stayed on the lead after it became a deal, so the deal looked like nobody had ever called. Reps copied call notes onto deals by hand. And the connect rate on the dashboard was flattering, because texts were being counted as calls.
What I built
- Click-to-dial inside Salesforce. Reps call from the record they are already looking at.
- Automatic logging. Calls, texts, and recordings attach themselves to the right record. No copy and paste.
- Call-to-deal linking. When a lead converts, its call history comes with it, and later calls attach to the open deal automatically. I also reprocessed the historical calls that had been left unlinked.
- Honest call reporting. Texts are counted separately from calls, and a call outcome is required, so the connect rate measures conversations, not activity.
- Business texting done properly. Texting was registered with the carriers, and STOP replies are honored automatically.
How it works
The phone system’s Salesforce integration handles dialing and logging. A set of Flows handles what the integration does not: carrying activity from lead to deal, linking new calls to the right open deal, and stamping each rep’s last activity date so aging rules and reports stay accurate.
The first version of the connect-rate report looked great and was wrong. I rebuilt it from call outcomes instead of activity counts before anyone used it to make a decision.
Stack
RingCentral for Salesforce, Salesforce Flows, Salesforce reports and dashboards.
Where it stands
Live since late August 2026, with call-to-deal linking added in September. Reps have a click-to-dial user guide, and admins have a short checklist for adding a new user.
